How to Import Liabilites

Manage the balance sheet of your business by importing the list of liabilities

You can give exclusive access to the accounting and invoices section of your Peekaboox backoffice to your accountant too!

How to create your liabilities list from scratch

To add your liabilities on Peekaboox you will need to create an expense list in a new CSV file and import it to your back office. If you don't know how to create a CSV file you can download the template from your back office:

  • Go to Assets
  • Liabilities
  • Click on import

  • Click on CSV: for the moment only the Comma Separated Values (CSV) file is supported, which is however the format used by practically every software to import or export a contact list, but the Excel format (XLSX) will also be available soon.

  • Download the template with comma delimiter.

You can choose to open the file with a text editor, or a spreadsheet. I opened it with good old notepad! :) You will find the details of the liability at the header of the file

It is not necessary that you enter all the data. Required fields are:

  • The document number and date
  • The account code
  • The bank code
  • Amount with VAT

Replace the data you don't want to insert with a comma!

The details in more detail

Now let's see how to write the details of the liability. The template already contains a few examples to help you.

  • ACCOUNT CODE: you can find the codes in the Accounting > Settings > Balance Sheet Accounts section. It is always possible to modify an existing code as well (mandatory data)

  • AMOUNT WITH VAT: the total with VAT (mandatory data)
  • BANK CODE: the default codes are C1 for cheque, PC for petty cashier, B1 default bank account, PG for payment gateway, but new ones can still be added in the accounting> settings > bank accounts section (mandatory data)

  • CUSTOMER EMAIL & SUPPLIER EMAIL: Liabilities can be associated with either a customer or a supplier: in fact, the header contains both Supplier Email and Customer Email. If left empty, the liability will not be assigned to anyone. Make sure that the supplier or customer are already present in the appropriate sections with the same email you enter in the CSV, otherwise the liability will still not be assigned to anyone and you will have to do it manually.

  • CUSTOMER MODE: if you have associated a customer with the liability, enter USER for customer without VAT and COMPANY for company or customer with VAT number

  • VAT & VAT RATE: VAT and VAT rate

Once you have entered the entire list of liabilities in this way, just upload it to your Peekaboox back office, more or less as before:

  • Go to Assets
  • Liabilities
  • Click on import

How to insert a liabilities list downloaded from another management system

If, on the other hand, you were using another management system, export the liabilities list in Comma Separated Values format and then upload it to Peekaboox directly, following the same process I just mentioned:

  • Go to Assets
  • Liabilities
  • Click on import
  • Click on CSV
  • Select the delimiter you prefer
  • Upload the CSV file you previously exported

Note that if you download a CSV file that has a different header, you will have to standardize it with the Peekaboox model, that is:

  • At least the mandatory fields must be present, even if in different order
  • Only the fields supported by Peekaboox will be imported (i.e. the fields present in the template header)

In addition, Peekaboox sends you a summary email in which you will be notified if all the data has been uploaded correctly and, if not, which errors have occurred.
